 Aerial activities (main books)

Part of an application, which serves for recording of flights (engine and glider book) and para drops (para book). You can add very variable data to each recorded flight or para drop including detailed list of prices of flight or para drop and accounts, which this flight should by paid from. According to these information you can make invoices or let the application create a diagram of flight hours of particular airplanes/pilots in a concrete period. It is also possible to import main books from your computer, e.g. when you had some in another version of Flight Office. And moreover, the application can transfer the data in books to a format for printing or e.g. download data from online trackers of types FT 200 a FT 300.

Settings

Before entering data into books, it is necessary to:

- found a card of a pilot, who made this flight ("Accounts - People")

- found a card of an airplane, which this flight was made with ("Accounts - Airplanes")

- found at least one flight tariff, which can be used for calculation of flight price ("Lists - Flight tariffs", we recommend you e.g. tariff "F", name "Free") and add to the an airplane, which you want to use.

- if you want to add any information, which are offered in a list (e.g. type of flight, task, organisation), it is necessary to found needed card or list at first (see help "Accounts" and "Lists").

Settings of main books (upper toolbar - "Tools and settings - Options"):

- place of take-off/landing - if you fill it in, text of these boxes will be automatically offered as a place of take-off/landing during entering flights into books.

- sign "Use block time" - if you tick this sing, it will also be automatically ticked on each card of a new flight and if the used airport has got block time filled in lists, it will be automatically filled in the card of the flight.

- sign "Flight price from a block time" - if you tick this sign, it will be automatically filled in on the card of the flight during entering of each new flight.

- initial receiver of charge for winch - you can choose an account, which the charge for a towing will be sent to. Choose from people accounts or choose "Airplane" and this charge will be sent right to an account of a used machine.

- initial receiver of charge for para drop - you can choose an account, which the charge for a para drop will be sent to. Choose from people accounts or choose "Airplane" and this charge will be sent right to an account of a used machine.

Record in an engine book (entering of the flight)

If you press the icon "New" in "Aerial activities - Engine books", an empty card of a new flight will be opened - that means this window:

Compulsory items (the record cannot be saved without them):

- document number - it is generated automatically not to change an order of documents, you cannot rewrite it or delete.

- date - choose from a calendar or write. The application does not allow to remove it completely.

- registration - choose from the list. Needed aircraft registration must already be matched to some airplane card in "Accounts - Airplane". The type will be automatically filled in according to it.

- 1st crew member - choose from the list a main pilot. If you start writing his name or index in the box, people with similar name/index will be offered.

- flight time - fill in. If you fill in time of take-off and landing, it will be counted automatically. It can still be changed after that, but the application will not allow you to enter longer time than the one between start and landing.

Other optional items:

- 2nd crew member - if there was one, you can add him in the same way as the 1st one.

- sign "Pays" - it ticked, an account of the 2nd pilot will be set as a payer's account.

- sign "Summary record"

- pilot function - choose a type of flight from the offer. If only one pilot is set, it will automatically choose "Solo" and the application will not allow you to change it.

- take-off method - accessible only in a glider book, not for the engine one.

- type of flight - choose from the list. You need to found this flight in "Lists - Type of flights", which you can do also by an icon next to the arrow by a box "Type of flight".

- task - choose from the list. You need to found this flight in "Lists - Tasks", which you can do also by an icon next to the arrow by a box "Task".

- ATD and ATA (actual time of departure/arrival) - if you fill it in, the application will automatically count time of flight.

- number of flights - 1 is filled in automatically. If you want, you can change it.

- sign "Block time" - if you tick, block time will be allowed to be written (or will be filled in automatically according to data in "Lists - Aerodromes").

- sign "Block time price" - if ticked, price of flight will be calculated from entered block times.

- dep. place, arriv. place - if you have it pre-set in options, it will be filled in automatically (it is probably good to set a home airport there). It can be rewritten.

- eng. hours - if you use it, enter it in a decimal system.

- minutes in CTR/aerodrome - number of minutes spent in a control zone for calculation of a charge for controlled flights.

- price of flight - complete detailed list of prices for flight.

- tariff - a tariff, which the pilot has got on his card is offered. You can change it, according to the aircraft registration the amount will be entered, the application will count a price of flight and VAT.

- airplane, pilot etc. - it enables you to divide the price to particular accounts, the application will show an inclusive price with and without VAT.

- para drop document number - if it was a para drop flight, you can fill there concrete name of this drop entered in para book ("Main books - Para book"). If you press this number and Enter, record of this para drop will be opened.

- settlement - it will be offered automatically, that 100% of the amount should be paid by a 1st crew member. But it is possible to enter any other accounts and divide payment between them.

- internal text document - this sign is ticked, if the 1st crew member has got written in his card, that he pays in advance. You can tick it off, if you want.

- invoicing- ticked, if the 1st crew member does not have written in his card, that he pays in advance. You can tick if off, if you want. You can choose flights to be invoiced by a filter and record numbers of documents and in this way have a general knowledge about doing invoices and settlements.

- invoice issued - if ticked, it means, that invoice has already been issued. Its number will be filled in a box "Invoice num.". According to this sign you can filter the flights then. If you are entering a new flight by a copied one, which has already been issued an invoice for, the box "Invoice num." will be set free to can delete it and have the flight recorded as an unpaid.

- kind of flight - aerobatics, night, instruments - fill in according to reality, you can fill in matched time of a particular kind of flight.

- leasing - if a chosen plane is a leasehold, a lessor will be filled in and a preset leasing kind will be offered (it can be changed there) and a price for a leasing will be calculated. If it is not leasehold, this choice is not accessible.

- landing types and counts - it records number, types and places of landings. Optional.

- flags - choice of other possibilities for easier work with the record.

  • sign "Print in logbook" - if ticked, this record will be printed as a logbook (after starting the printing you have to filter documents to be printed).
  • sign "Company record" - if ticked, it means, that this flight was "done" by a company. This box is prepared for future processing of lists e.g. for AeČR by aero clubs, but it also just allows to separate record flights.
  • sign "Sport activity VAT" - if ticked, will be cheap VAT rate counted to the price of the flight.
  • sign "TOWING - B/S" - a sign serving to mark flights with towing (aerotow, towing from the field etc.), which are counted to the flights for verification of qualifications with limitation of right connected to doing certain flights. The flight will be marked this way independently on other task.
  • sign "PAR" - it serves to mark kind of flight according to needs of the user, which is counted to the flights for verification of qualifications with limitation of right connected to doing certain flights. The flight will be marked this way independently on other task.
  • track- free text box for filling in other information about the track.

- note - possibility of text note.

- other flight qualification - box "Flight type 2, 3, 4" - it serves to other dividing of flights according to your needs.

  • box "Tow" - when you record a flight with aerotow, number of card in engine book, where the towing airplane is recorded, will be entered there. If you press the button next to this box, you can change a flight of a towing plane (it is also possible to get to glider book from the record in engine book). When you are ending a recording of an aerotow, the application offers you entering of tow.  That happens according to below written description of record in an engine book. The record remembers the last time used tow and pilot and it automatically sets a task "aerotow". If you enter time of start in a glider book, it will copy it into tow record. It will choose the same tariff as for glider and a price of tow will be automatically divided between tow pilot and 1st crew member of the glider according to a coefficient set at matched tariff.

- accomplished within org. - it enables you to choose from an organisations list and organisation (it must already be recorded and have a card in "Accounts - Organisations"), which the flight was done for.

- created within organisation - it is filled in by flights, which are imported from another organisation.

Record in a glider book

See above - record into this book is done in the same way, as to the engine book, but these differences:

- accessible choice of take-off method, where you can choose aerotow or winch. If the machine is a motor glider and has it written in his card, in the take-off method will automatically be chosen TMG.

- it does not allow (the box does not work and does not allow access) entering of para drop document number from para book.

- other flight qualification - tow - if you press the icon next to this box, a record of an engine book will be opened and you can create a record about flight of the airplane, which towed the glider. On this way created card will be automatically set task "Aerotow". Number of document of this flight will be then shown on a card of flight of the glider in a box "Tow".

Recording of motor gliders (TMG)

You can record TMG flights according to your decision into glider or engine book (their recording cannot be allowed in both of them). Settings of book, which you want to record TMG in:

"Lists - Kind of aircraft" - here you were creating basic types of airplanes at the beginning of the work with the application (M=E=Engine - flights are written into engine book; P=G=Glider - flights are written into glider book):

Record in para book (entering of a para drop - founding of its card):

Para book serves to record para drops. Each record can be in engine or para book connected to record of a flight in engine book, which was the drop made by.

Compulsory items (it will not be allowed to save the record without these items):

- document number - it is generated automatically, it cannot be changed nor deleted.

- date - choose from the calendar or write in. The application will not allow you to delete it completely.

- registration - of the airplane, which the drop was made from. Choose from the list. Needed registration must already be matched to some airplane card ("Accounts - Airplanes"). According to it the application will fill in matched type. If you are founding record of the drop from a record in an engine book, registration will be filled in automatically.

- flight time - fill in. If you fill in time of take-off and landing, it will be counted automatically. It can still be changed after that, but the application will not allow you to enter longer time than the one between start and landing. If you are founding record of the drop from a record in an engine book, it will be filled in automatically.

- konto úhrady letadla - in there will be automatically filled an account according to settings of the airplane (an account, which is chosen to be sent money for airplane flights on), which's registration is filled in the description of the drop.

  • If you tick the sign "Konto úhrady-editace", the application will allow choosing other accounts.

Other optional items:

- ATD and ATA - if you fill it in, the application will automatically count time of flight.

If you are founding record of the drop from a record in an engine book, they will be filled in automatically.

number of flights - 1 is filled in automatically. If you want, you can change it. If you are founding record of the drop from a record in an engine book, it will be filled in automatically.

- eng. hours - if you use it, fill it in decimal system.

flight document number - if you are founding record of the drop from a record in an engine book, it will be filled in automatically.

 

- para jumps - list of jumps made during this flight. Buttons on the right side serve to add a new one and edit or delete the older ones. When you want to add a new jump, this window will be opened:

  • parachutist - choose from the list. He must be recorded in "Accounts - People".
  • task - choose from the list. It must be already founded in "Lists - PARA Tasks". You can create new one using the icon next to the box. You can enter in it all needed information.
  • height of the drop - fill in by arrows or keyboards. It must not be smaller than height entered by a chosen task.
  • type of parachute - you can enter a type of parachute from the list. It must be founded in "Lists - Types of parachutes". You can create new one using the icon next to the box. There it is possible to enter all needed information
  • place of landing - if you have it pre-set in options, it will be filled in automatically (it is probably good to pre-set a home aerodrome). It can be rewritten.
  • time of free fall - you can fill in.

 

  • price - detailed description of price for the jump. You can choose using of a flight tariff (and then it offers normal flight tariff, which can be chosen from the list) or a Para price list (this offers choosing from para price lists matched to the airplane. It is not possible to use a price list, which is not matched to the airplane).
  • price and VAT rate - the application will count total price and show it (as well as VAT).
  • payments/settlements - it shows a final price, state of invoicing and account of a payer. When you open concrete payments, it is possible to edit them: Accounts - Index and Name - link to the payer. Automatically a parachutist, who made this jump, is filled in there, but it can be changed.
  • paid - if ticked, the invoice has already been issued. Its number will be filled into a box "Invoice number". Flights can be filtered according to this sing.
  • share - it enables you to divide the amount between more people.
  • amount - fill in the amount, which this parachutist should pay.
  • sign "Do not re-count, fixed amount" - if you tick this sign, parachutist will pay this amount, no matter, that some other parachutist will be added or deleted. (Example: This parachutist should pay 10 € for this drop, other charges pays an operator. When you tick this sign, he will still pay his 10 € and the rest of money will pay entered account - e.g. the operator. When you enter some more parachutist, the amount will still remain unchanged, but the price of the flight will be paid whole.).
  • percent - it determines the percentages.
  • total price - it shows total price, which the parachutist pays, percentage of whole price and difference between this and whole price.

 

 

Filtering of shown flights

For easier orientation in saved flights (and jumps) it is possible to filter, which flights I want to show (according to a date, pilot etc.). When you show yourself a list of flights and click on a title of the column, which you want to use for filtering, an arrow will be shown on the right, under which is hidden a possibility to show e.g. calendar and tick, how old records should be shown. Example: you can tick 3 pilots of 30 recorded, period from 1st January to 1st October 2012 and a pilot function "Solo". The application will show only records, which meet these terms.

The second possibility (accessible only for glider and engine book) is using a button "Filter" - if you click on this icon, a list of signs will be shown (ticking of them causes showing of only relevant accounts). When you tick some of them, you can choose next to it a more concrete data (e.g.: sign Amount and in the box you write 50 €). If you tick the sign "Negation"next to the chosen data, the application will show accounts, which do not have this characteristics. It some filter is used, an icon will get red.

In the lower part under the database there is a box, which reacts to present setting of the filter and show present sum of chosen data. By some of them (number of starts, sum of money) you can change a function "SUM", which is pre-set on other function from the offer (e.g. average). This does not work by flight hours because of strange hh:mm format over 24 hours.

 

Flags bulk edit

According to using of filters (see above) it is possible to use flag bulk edit (only for engine and glider books). By this choice, you can in bulk add or delete signs "TOWING - S", "TOWING - B" and PAR. When you using filters in a concrete book choose flights, which you want to mark, and click on the offer, you can choose, which sign you want to use for chosen flights and if you want to set or remove it. When you save this choice, all chosen flights will have set/remove chosen signs.

 

Main books import

If you have any databases saved in your computer (e.g. from the last version of the application or from other user) and you want to use them, it is possible to import them to the application by this button. When you click on it, files of your computer will be opened (Windows Explorer), where you can choose a file to import. Import can run only for current period, it will ask you for your agreement for import of older records.

 

Main books import log

It shows a list of done imports. In this list there is nothing to be changed, it is only a list. Each record can be opened and it shows you:

- date and time of import - exact time

- organisation ID - ID of organisation, which's databases were imported.

- flights and defected items - detailed list of flights, which were transferred by this import. State shows, how successful the import was. If there is an icon of an exclamation mark, there was some mistake and the import did not run and in a box "Text" should by shown error report - cause of the mistake. Internal number is a link to an imported flight and you can open this flight by clicking on it.

 

External flight records

It enables you to download data of records about flights recorded by GPS/GSM online trackers of type FT200 a FT300, which are offered by a company FID Avionics.eu - Ing. Jiří Mlejnek (more information on these websites: http://www.fid-avionics.eu a http://www.flight-track.eu).

Users of these devices can set a communication and start downloading of records to the Flight Office in this way:

-  on websites http://www.flight-track.eu/ you have to find out serial numbers of your devices in an offer "tracker setup", allow possibility of communication by each one of them and find out a key necessary for connecting.

 

- in Flight Office you need to fill the particular devices into the list in "Flight Track" in offer "Settings".

 

- then you can click on the button "Load data" and start the transfer into Flight Office.

 

After the transfer of records, the list will be filled by flights downloaded from Flight Track in of extent, which the devices record, that means "Date, Aircraft registration, Place and time of take-off and landing, Time of flight".

  

By clicking on the line of records you open card in a logbook, where the downloaded data will be transferred. After filling in of the rest of needed items the flight will be saved into the logbook. By this the application creates a connection between records and the line will get coloured. This connection can be cancelled, or you can the downloaded record connect to already existing record in one of main books.

From above written facts follows, that you can work with the downloaded records for example in these ways:

- to make passive controls of correctness of records in airplane logbooks, to make records into logbooks according airplane logbooks according to board logbooks, during control to connect these records and by this to have an overview about done control.

- to use downloaded records for entry into airplane logbooks, during this entry to control them with a record in a board logbook and to repair times according to your needs.

- to use downloaded records as a source for entry into board logbook.

A way of work with this function depends on a way of doing flight record in a concrete company and settings of authorizations of users in Flight Office.

 

Offer "Print"

It is possible to get an output from main books for printing.

From engine and glider book you can print by these choices:

- airplanes leasing payment - set a period by a filter and choose according to your needs all or particular lessors (you can also use any other filters). The result is a system with list of airplanes, flight hours and amounts.

- logbook/logbook cumulated

- flight hours by airplanes - it prepares for printing a diagram comparing flight hours of particular airplanes.

- flight hours by airplanes and months - it prepares for printing a diagram comparing flight hours of particular airplanes in particular months.

From para book you can print by this choice:

- list - it prepares for printing list of made para drops with all needed information.

Statistics (flight hours summaries)

According to records in main books the application can create diagrams about activities of pilots and airplanes in time periods with details, which you choose. Created diagrams can be printed.

When you choose creating of new flight hours summary, the application opens a window, which contains:

- name - the application automatically offers a name "New flight hours summary", but it can be changed anytime.

- group by - choose from the offer, if you want diagram of people or airplanes.

- sign "Engine/glider book view" - by ticking of the checkbox choose, which main books should the diagram be created from. It is possible to choose both of them. Then choose from the list using of all record, or other concrete offered part.

- airplane view - you can choose a concrete view, which you have got chosen for one of books.

- from-to - it offers you choosing of an extant time period, which should the flights be used from. Choose the dates by writing into relevant boxes or in a calendar.

- simple range - it offers entering of a time period by choosing of offered possibilities (e.g. current period, previous year etc.).

- last _ days - when you tick this sign, you can choose display of last several days. The application offers automatically 30, but you can change (write the number by your keyboard or enter it by the arrows).

- time axis resolution - choose, which "units" should be shown on the (down) axis x of the diagram - years, months, weeks or days.

- filtered flights - it shows a list of flights, which were put into the diagram according to entered parameters. If you click on a concrete document number, it will show you the record in a book.

- summary - it shows a time list of airplanes/pilots and times of flight used in the diagram. If you click on the arrow closer to the text, you can change to order in ascending/descending order according to the chosen item.

  • column "Year" a "Month" - it shows years and months used in the diagram. When you click on the icon year/month, you can choose showing of only some items - e.g. July 2014 - but it will happen only in in the summary, it will not change anything in the diagram.
  • column "Pilot"/"Airplane" - list of used pilots/airplanes. Pilot/airplane is always written again in each month, which he has flown in. When you click on the icon, you can choose more detailed view, but it changes nothing in the diagram. If you see there pilots or airplanes depens on your choice at the beginning - Group by pilots/airplanes.
  • column "Day" - it shows concrete dates of each pilot in each month, when he flew.
  • column "Flight time" - it shows length of the flight next to the day of it.

- diagram itself - current view of prepared being diagram. It is edited right with each change (e.g. time axis resolution), so you can see right at the moment, which changes it causes.

  • title - the diagram has got a title according to a chosen name.
  • format of the diagram  - next to the title of the diagram you can choose a format of the diagram (bar chart, line chart, pie chart), the change will be shown right at the moment.
  • date - you can see the date, which the diagram is from, under the title. It cannot be changed in the diagram, it will be rewrite in case of changing of period in settings of time period. If checkbox "Time range" is not ticked, the date will not be shown in the diagram.
  • axis y (side) - shown flight hours.
  • axis x (lower) - shows a calendar time, when the flights were done, in chosen units (see. "Time axis resolution").
  • explanatory notes - it shows colour differentiated people/airplanes, how they are shown in the diagram. When you click on the colourful field in the explanatory notes, relevant part of the diagram will be shown dot-and-dash and vice versa.
  • If you (in case that you are using bar chart or line chart) click to the place of diagram a scroll with your mouse, you can zoom time axis and look at detailed data. When you want to print it, the diagram will be printed in the way, how it looks like now, including zoom.

  

 

Diagram can be printed under offer "Print" in several ways:

- only the chart - it prepares for printing your created chart in a chosen appearance.

- only the summary - it prepares for printing "Summary" exactly in the appearance, which you have got opened in the moment of printing - if you have from two years and ten pilots shown only one month and two pilots, this version of the summary will be printed.

- the chart and the summary - it prepares for printing chart and the summary - terms are the same as for printing of chart or summary alone, but both of it will be in the same file.
