Installation of the application

By downloading FO2012instal_x.x.x.zip you get ZIP package, which contains files Setup.exe and SetupMSI.msi. If there is software .NET Framework 4.0 installed on your computer, you can use file SetupMSI.msi for installation. If you do not have it or you are not sure about it, use a file Setup.exe. You need to be online to install Setup.exe.

First launching:

You can start the application by clicking on an icon Flight Office 2012, which will be created on your desktop. The application will demand password of basic user (admin). This password is "1234" and you can change it anytime in bookmark "Tools and Settings - Users". Always when you start the application, it also offers you choosing of language - English or Czech. In "Tools and Settings - Options - Language" it is possible to set the language and then to tick off the flag "Show options at startup" - the application will stop asking for the language through each startup and will use language chosen in "Options" (it is always possible to change it there).

We recommend you to fill in data about user of the application, ID is a compulsory figure. These informations can be filled in "Tools and Settings - Options - Local Options". 

Installation on other computers in you network:

- install the application on the base computer (see above)

- set sharing of the folder, where the application is installed or data are saved

- open the folder with Flight Office on the base computer (which you want to use for access to FlightOffice) using "TotalCommander" or "Windows Explorer" and create shortcut of file "FlightOffice.exe" on desktop

Warning !! Microsoft .NET Framework 4.0 must be installed on every computer, where works FlightOffice on, that means on every computer in the network. If it is not or you are not sure, use the file Setup.exe and allow it to install Microsoft .NET Framework 4.0. In case of this first possibility it is not necessary to install FlightOffice 2012 after that installation. You need to be online to use Setup.exe.  

 

- enter the application using the created shortcut - it is going to work in DEMO mode

- in a tab "Tools and Settings - Database Settings" set the way to data on the base computer
- activate license key for starting full application

Advantage of this way is, that now you can make changes and innovations of application only in the base computer and they will appear and work in the others too.

Ordering of licenses:

After installation the application is in DEMO mode (number of records cannot overcome 30, some of paid functions do not work). You can order license right in the application. Choose tab "FlightOffice - Information - Download license key from the server", fill in the requested data and choose parts of application, which you want to order. You can send your order right onto our e-mail or save the file and then e-mail it (e-mail adress: flightoffice@airjihlava.cz). We will issue an invoice for you according your request and our price list. After paying this invoice, we will generate license for you, which can be used for online activating of license key on your computers.

You can get license key on the e-mail too. Save it anywhere on your hard disc and you will get the full application going by setting way to the file using offer "License key in the file" in tab "FlightOffice" and clicking on button "Import".

Data importing from FlightOffice 2000:

After installation the application is without any data. Using following way you can import data from system FlightOffice 200 (only version 1.6.12):

- choose tab "Tools" and then "Initialization from FlightOffice 1.6.12"

- choose file with data you want to import - it usually is in  "C:/Program Files/Flight Office/Data/Year.XXX Year.XXX" is last year in the database.

- after confirmation of the import, lists of airplanes, people and other databases will import themselves into new installation. Records from engine, glider and para book, stocks and other records will not be imported.

(That means that for the user of FlightOffice 2000 is the best to start using of the new version on the beginning of the new year, because after the closure of last used year (e.g. 2011), user just imports databases by the 1st January (e.g. 2012)  from old version and he can fluently continue with assigning of records.)

 

 

Fast settings for beginning of the work application:

1. "Tools and Settings - Options - Local Options" - fill in the data about user of the application, ID is compulsory.

2. "Lists - Flight Tariffs" - enter at least one tariff, we recommend e.g. tariff "F", name "Free".

3. "Lists - Kind of aircraft" - enter followed kinds of airplanes:

  Airplane

4. "Lists - Types of aircraft" - enter at least one type of airplane, which you will later enter into records "Accounts - Airplanes".

5. "Accounts - Organizations" - enter organization with chosen index into these records. You need to fill in name and data of firma, which you have entered into Local settings. This account will be basic account for financial movements, if you do not decide to found another structure of accounts, which will be used for that. 

 

Other settings - tab "Tools and Settings" on the up board.

- periods management - possibility of creating a new period and closing the old one. If in the chosen year exist records, it is not allowed to edit or delete this period.

- initialization from Flight Office 1. 6. 12 - described up in this help.

- run check - the application will do a control of a validity of pilot licence, qualifications, states of accounts and airplane limits and will show you a list of expired qualifications etc. with date, when their validity ended. Results of the control can also be send by email (e.g. only qualifications of one person) or printed.

- lock to date - choose a date and records of older or same date as the written will be allowed to edit only with a special permission and it will always show a warning. Lower level of this lock is a "Working lock", which you can use on marked records by pushing of right button on the mouse. After locking a symbol of a lock will be shown in the left column of relevant record. You can unlock the records in the same way. Data locked by "Work lock" can be opened without warning only by users with relevant rights in settings, they are inaccessible for the others. If new/edited record belongs to the lock period, it cannot be saved.

- database settings - it is possible to choose, which database folder should the databases be saved to. You can protect this folder by password.

- Options:

  • local options - according to your needs fill in at least ID/VAT ID. If you operate Flight Office ONLINE, e-mail is a compulsory item too.
  • financial options - fill in items according to your needs. It enables also choosing a way of rounding prices of flights and VAT (whole numbers, two decimal places etc.).
  • main books - initial settings for main books. Particular settings are described in help for main books.
  • Flight Office ONLINE - settings for ONLINE. More information about particular parts can be found in help for Calendar and ONLINE.
  • calendar- you can set there automatic synchronisation of the calendar, email notifications about reservations and work hours.
    • warn, when recourse conflicts are detected - if ticked, application will warn you about the situation, when in the calendar there is e.g. one instructor written in three airplanes at the same moment.
    • work hours - after filling in the calendar will automatically after opening show this time (more in help for Calendar).
  • E-mail options - you can set a way of communication with email.
  • warnings - settings of warning about coming end of qualification validity etc.
  • e-mail texts - possibility of setting of texts of sent e-mails (that means texts of e-mails which will be sent to CAMO organisation/service with exported data).
  • language - option of language (English/Czech). When you tick "Show options at start-up", the application will ask you about it during each start-up - until you tick of the box.
  • others - option of searching of texts.
  • users - you can set more users and manage their access to particular parts of application - from mere possibility to look at state of their own accounts to complete rights of admin.
  • password change - setting of password of present logged-in user.
  • accounts balance consolidation - recount of all financial movements and flight hours. It will repair potential mistakes caused e.g. by fall of computer or software during data entering.
  • compress and repair database - it will do defragmentation of database, compress it and repair potential mistakes.

Particular settings for some parts of application can be found in help for these parts.

Upper toolbar - basic offer of choices applied for whole application.

Views

View is a possibility to save under chosen name used settings of filter, number and order of columns and settings of filters of particular columns.

Recommended procedure - example of using in engine logbook.

- choose view of maximum number of columns, which is effective to show and delete all filters.

- choose a button "New view" and save present settings e.g. under name "00 All records" (particular views are ordered according to their name, so it is good to ensure their order by number at the beginning of their names).

- now make e.g. view called "01 Invoice": show only needed columns, show column "Invoice" and filter the records - choose a filter "Ticked", show box "

Refresh

An order to actualise records, so that all changes would be shown.

Fit column width

All columns will be widened, so that all corresponding data would be shown whole.

Export to…

This application enables to export anything you need (flights, records in logbooks, stock documents) to formats pdf, xls, xlsx and csv. With this way made files you can work in relevant editors of particular formats as with any other files.

Filters

Accessible for accounts of people and airplanes, engine and glider book and internal movements, bank and cash desk.

To can easily orient yourself in record, it is possible to filter, which ones you want to show. There are two possible ways of filtering - using a button "Filter" (accessible only for upper mentioned list of parts of application) and choosing by titles of columns (accessible for most of the records).

Using "Filter":

If you click at the button, there will be shown list of signs, by whose ticking will cause showing only accounts with relevant data. Always, when you tick the sign, you can choose a more concrete type of data in the box on the left (e.g. sign "Qualification", type of data "ICAO English Level 5"). If you tick the sign "Negation"next to the chosen data, the application will show accounts, which do not have this characteristics. It some filter is used, an icon will get red.

In the lower part under the database there is a box, which reacts to present setting of the filter and show present sum of chosen data. By some of them (number of starts, sum of money) you can change a function "SUM", which is preset on other function from the offer (e.g. average). This does not work by flight hours because of strange hh:mm format over 24 hours.

Backup (tab "Flight Office" - "Backup")

With this function all data from application Flight Office 2012 will be placed into one ZIP archive. It is possible than to save it to any place in your computer, computer site or on USB flash drive. With function "Restore backup" data can be transported back to the application. In section "Tools and settings - Users" it is possible to allow to some users (if you use function "Multi-users access") making backups or restoring data (these functions are separated in settings).

- create backup - choose, where the file should be saved and press the button "Backup".

- restore backup - choose a file with backup in your computer and press the button "Restore".

- backup reminder - if you tick the sign "Remind backup at application exit", the application will ask you for backup during each closing of the application. When it is ticked, choice "Remind every _ day" will be allowed. You can choose there, how often the application should remind backup. Each user can set the time interval in other way, datum of the last backup will all of them see the same, no matter who made it.

 

Lists

You can find them in upper toolbar, usually they can be edited also in e.g. accounts or main books. You can add and edit flight tariffs, qualifications, tasks of flights etc. In the list you can fill data, which you want to add to other records, will be repeated and it is needed to fill to them more other data. An example: qualification - you will add qualification to more accounts and you need to have some more data about its validity and restriction. Thanks to the lists you will not have to write all these data again  for each account - I just create once the qualification in lists and then I only have to choose from offered list during adding it to the concrete account.

At the beginning of using of this application it is important to fill in at least data mentioned upper as basic settings of the application.

Types of lists:

- flight tariffs - administration of tariffs of flights, it is possible to add, delete or edit them according to your needs and will.

  • marking - for quick orientation choose short numerical or literal marking.
  • name -fill in.
  • VAT rate -according to it price of the flight without VAT will be counted.

- para tariffs- administration of tariffs of paradrops, it is possible to add, delete or edit them according to your needs and will.

  • marking - for quick orientation choose short numerical or literal marking.
  • name -fill in.
  • VAT rate -according to it price of the paradrop without VAT will be counted.

- personal tariffs - settings of tariffs of work duties. Created tariffs can be added to recorded people and according to them missing hours etc. in working activities will be shown.

  • marking - for quick orientation choose short numerical or literal marking.
  • name - fill in.
  • work duty per a year - fill in (by keyboard or arrows) number of hours, which should be worked per a year.
  • work duty - last period - how many hours must have been worked in last period (for counting of owed hours).
  • work duty - present period - how many hour should be worked in running period.

- types of registration - it offers a possibility of entering, which type the registered person is (e.g. staff, in training etc.). These types can be then added to particular recorded people. It is possible to add, delete or edit them according to your needs and will.

  • type of registration - write name of registration (staff etc.) according to your needs.
  • registered - sign, which serves to divide people into two groups (e.g. it is possible to leave a message only for registered).

- licences - types of licences, which can be added to recorded pilots. It is possible to add, delete or edit them according to your needs and will. The only needed information is a name.

- qualifications - list of qualifications, which can be added to recorded pilots. It is possible to add, delete or edit them according to your needs and will.

  • name - fill in.
  • note -possibility of text note.
  • sign "Limited by time"- if the sign is ticked, during adding the qualification to pilot the application will demand a date of end of validity (after that date the qualification will be considered to be invalid, it the date is not entered, qualification will be considered to be invalid from the beginning).
  • rights limits- if you tick this sign during editing the qualification, possibility of entering limits will be opened (e.g. the qualification will be considered to be unusable, if the person did not fly some minimum number of flights, which this qualification is for, in determined time). Write these data into boxes:
    • in last _ days - choose by arrows or write.
    • at least _ flights - choose by arrows or write in the minimal number of compulsory flights.
    • with sign -choose a sign, which should flights, counted to this qualification, have (automatically "Without sign" is chosen).

- expertness - can be added to particular pilots. It is possible to add, delete or edit them according to your needs and will. The only needed information is a name.

- kind of aircraft - it serves to record kinds of airplanes, which are then added from offer to concrete machines. It is possible to add, delete or edit them according to your needs and will.

  • aircraft kind - fill in (basic kinds - airplane, glider, engine glider and ultralight airplane - see upper).
  • logbook -choose from the offer, where the kind of airplane should be placed (M=E=engine; P=G=glider).
  • sign "Simulator" - tick, if this kind of airplane is a simulator.

- types of aircraft  - it serves for recording of types of airplanes, which are then added to particular machines. It is possible to add, delete or edit them according to your needs and will.

  • type of airplane - fill in (e.g. Z-43)
  • kind of airplane - choose from the offer (e.g. glider). Kind must already be founded in "Lists - Aircraft - Kind of aircraft".
  • number of engines -fill in by arrows or keyboard.
  • sign "Watch cycles" - if ticked, the application will watch number of starting of turbine engines.

- lessors - list of lessors of operated airplanes, who can be added to particular recorded machines. It is possible to add, delete or edit them according to your needs and will. The only needed data is a name.

- tasks - records of tasks, which can be filled in during recording of a flight in some logbook.

  • task - fill in the name of task, which you want to use (e.g. test flight or aerotow).
  • sign/flight flag - it serves for clear determination of flights, which the application must search for controlling qualification rights for doing some types of flights. This sign will be filled into the record automatically, if you add name of the sign to the type of flight (e.g. to tasks Aerotow, Tow from the field etc. you would add sign "TOWING-S"). By this you ensure united signing of flights in the way, that the application can control rights of qualification. At the moment we have created signs "TOWING-S", "TOWING-B" and "PAR" (sign "PAR" is now extra for your purposes).

- types of flights - recording of tasks.

  • type of flight - write a name of a flight (e.g. joy flight) according to your needs.
  • sign "VAT for a sport activity" - tick, how the VAT should be counted.

- other types of flights - list of other types of flights, which can be added to the flight in a logbook. It is an optional specification of a flight. It is possible to add, delete or edit them according to your needs and will. The only needed and demanded information is a name.

- tasks - recording of tasks (types of paradrops).

  • number - enter by arrows or keyboard. Flights can be ordered according to that.
  • task - fill in name of the task.
  • minimum jump count - write or fill in by arrows minimal needed number of paradrops before this type.
  • minimum jump height - write or fill in by arrows minimal height, which you can do the drop of. During filling the height of the drop into the para book the application controls it, so that it would not be smaller than this minimum height. If this happens, the application shows a warning.

- types of parachute - it enables you to add and edit types of parachutes, which can then be added to concrete paradops (optional data).

  • type of parachute - write a type of a parachute.
  • description - enables you to write some further information.

- engine types  - it enables you to add and edit types of engines.

  • engine type - fill in.
  • manufacturer -fill in. Optional.
  • description -fill in. Optional.

- propeller types - it enables you to add and edit types of propellers.

  • propeller type - fill in.
  • manufacturer -fill in. Optional.
  • description - fill in. Optional.

- aerodromes - record keeping of aerodromes.

  • marking of aerodrome - fill in.
  • block minutes before take-off and after landing - fill in.
  • note -it enables you to fill in optional text note.
